We have 2 options; a package for little ones where a parent attends with each guest or a drop off party for older children.
We do not work every weekend, and we do not work in school holidays, so dates are limited. Dates cannot be reserved and are only confirmed once the booking form and deposit are received.
Please note the entire party takes place outside, whatever the weather, whatever the time of year – we do not have any access to the school building. If guests come appropriately dressed and a positive attitude towards ‘bad’ weather, it all adds to the fun!
PARTY OPTION A
Children 0-5 years with parents
This is aimed at little one’s age 1-5 years old, if your child is turning 6 but most of the guests are still 5 years old, we suggest you choose this option. However, if you feel that all 5-year-old guests are confident to attend without a parent please choose option B.
All children would attend with accompanying parent/s, who are responsible for their child/ children throughout the party. We are happy to have children up to the age of 10 years attending, but for safeguarding reasons every child, regardless of their age, must be accompanied by a parent. Parents of invited guests often ask if they can bring siblings along – unfortunately we must be strict about numbers for safety reasons, so we do require that all children are counted in the guest list. Siblings can attend with 1 parent. Under 1 years old are not counted as a guest, if they are accompanying a sibling, but we do require their name to be included on your guest list.

We can accommodate, and are insured for up to 40 children, once your total number (including the birthday child) reaches 24, anything over that is charged at £15 per child)

- Children’s hot food meal:
A hot dog cooked on the campfire, in a roll, crisps, fruit and vegetable sticks, a fairy cake and a fruit flavoured drink.
(Dietary requirements can be met if you inform us at least 2 weeks prior to the party) - Tea and coffee for adult guests
- Hot chocolate for children
- Water available throughout the party
- A party bag for each child

PARTY OPTION B
Children 6-11 years old
A drop off party
This is a drop off party, so for safeguarding reasons the maximum number of adults on site is 6 (other than Forest Fun Club staff). Included in the 6 adults are: parents and family of the birthday child / parents of any children with behavioural, physical or medical needs that require a parent to stay/ any child aged 4 years or under. All children on site as counted in your number unless they are under 1 years old and are accompanying a sibling, but we do require their name to be included on your guest list.
If you feel your adult number may be higher than 6, please discuss this with us before making your booking. If it is a joint party, we are happy to discuss higher adult numbers.
If your child is turning 6 but most of the guests are still 5 years old, we suggest you choose option A. However, if you feel that all 5-year-old guests are confident to attend without a parent then please chose this option. Any children aged 4 years old and under must attend with a parent and the parent will be responsible for their child throughout the party.

The invitation asks parents to fill in a medical/ consent form for their child, we cannot accept a child on the day of we do not hold this prior to the party.
We will be in contact 2 weeks prior to the party for your guest list, once we have your list we can confirm if we have received all the medical/ consent forms, and then we will send you your final invoice.

Birthday Fun at Forest Fun Club Birthday Party
What happens at a Forest Fun Club party
We are based in the grounds of Pickhurst Infant Academy in West Wickham, Kent and we have been running parties for over 12 years. Over the years we have learnt what works well but we are always open to new ideas, so if you have any special requests please do not hesitate to ask. All Forest Fun Club staff are currently working in schools, have an enhanced DBS and are first aid trained.
The entire party takes place outside – there is no inside option! Even the toilet is outside (in a tent). We run all year round and some of our best parties have been in thrashing rain! We go with the phrase: No such thing as bad weather, only unsuitable clothing! If heavy rain is forecast, we will string up tarpaulins for shelter when eating. Clothing is advised on the party invitation. If everyone that comes has a positive attitude about ‘bad’ weather, it is always fun!
The only time a party is cancelled a due to weather is thunder and lightning storms and high winds. This has only happened twice in 12 years! We would then reschedule with you for a mutually agreed date.
We meet you at the Main gate 5 minutes prior to the party, just in case you have any early arrivals. We suggest you have a bag for presents and pop them back to the car prior to the start of the party. We register the children at the gate and once everyone is in the gate is locked. We then all go to the Forest School site, rules and activities are explained, then the children will play a team game and then have approximately 45 minutes free time to build dens, look for bugs, mud kitchen, bird feeder etc
We will call the children back to base camp, and they will wash their hands and collect their food to eat at base camp.
Then we will sing “Happy Birthday”, then you can cut and slice your cake, we will provide you with a knife, something to wrap the slices in and a tray. Cake is usually handed out as guests leave the party.
Each child will have the opportunity to toast a marshmallow on the campfire and we will then do a scavenger hunt.
At the end of the party, we will walk back to the gate and you, and your child will stand at the gate and pass out a party bag and a slice of cake as each child leaves.
We take care of all the rubbish and tidying up.
How much does a party cost?
Cancellation
Once he deposit is made it is non refundable if you change your mind.
Once the balance is paid it is non refundable, however, we will do our very best to offer you an alternative date.
If you wish to change the date of your party less than a 10 days prior to the party date a £50 administration fee will be charged.
Parties will go ahead if it is raining or snowing, however, if thunderstorms or high winds are forecast, for everyone safety the party will be cancelled and you will be offered an alternative date, as soon as we have availability. We cancel sessions very rarely and only when it is too dangerous to be in the woods – a little bit of rain won’t put us off!
Once you have booked your child’s party
Once you have booked, completed the party booking information and paid the deposit, you will receive the invitations within 5 working days.
The invitations will include information on location, clothing & footwear for your guests.
If you have booked a drop off party (package B) your guests will be asked to complete a consent form via the Forest Fun Club website. We cannot accept a guest unless we receive a consent form for them prior to the party.
We will then be contacting you approximately 2 weeks prior to the party to discuss payment of the balance and at this point you will be required to supply:
For option A – the name of each child, their age and the full name of their accompanying adult
For option B – the full name of each child attending the party along with the names of any adults remaining on site (maximum a total of 6 adults).
We will then be able to let you know whose medical form we have not received and it will be your responsibility to chase any missing forms.
