At Forest Fun club we can offer you a birthday package to suit your requirements, we will suggest a few ideas, particularly things we know work well but we are always happy to discuss your ideas too.

PARTY PACKAGE A

Pre school children 0-4 years

This is aimed at little ones age 1-4 so all children would attend with accompanying parent/s.

All children attending have to be between the age of 0-4 years and accompanied by a parent or carer.

We are happy to have children up to the age of 12 years if they are accompanying a younger sibling, or are family of the birthday child.

Parents of invited guests often ask if they can bring siblings along – unfortunately we have to be strict about numbers for safety reasons so we do require that all children 1-12 years old are counted in the guest list. (Under 1 years old are not counted as a guest but we do require their name and date of birth to be included on your guest list).

We will take overall responsibility for the running of the party and ensuring everyone is well and happy.

At Forest Fun Club parties where younger children are attending with a parent, parents will be responsible for their own children.

Forest School rules and expectations are explained at the start of a session and it is the parent’s responsibility to ensure that their child understands and adheres to them.

Included in the price are a minimum of 3 members of Forest Fun Club Staff, insurance, party invitations and exclusive use of the site.

PARTY PACKAGE B

School age children 4-10 Years old

This is a drop off party.

This is aimed at school age children so this is a drop and go party, so the only adults on site are Forest Fun Club staff and no more than the immediate family of the party child there, to a maximum of 6 adults (If it is a joint party please discuss this further with us).

All children attending have to be between the age of 4-10 years old, we are happy to discuss taking younger children if they are members of the immediate family and a parent is present – parents of these children would be expected to take full responsibility for their child, these children would be included in the number of party guests.

Included in the price are a minimum of 3 members of Forest Fun Club Staff, insurance, party invitations and exclusive use of the site.

If your child is having their 4th or 5th birthday party and therefore most of your guests are 4 or 5 years old and you feel that there are a majority of children that would prefer it of their parent stayed as they are younger, then please choose package A where ALL children have an accompanying adult.

For safeguarding reasons we cannot have parents of guests stay unless there are specific reasons such as behaviour medical reasons.

You can add in any of the following options:

CAMP FIRE

Also includes marshmallows for each child to toast at the campfire and of course enough marshmallows for all the adults as well!

COLD

Includes 2 triangle sandwiches, 2 mini sausage rolls, a selection of fruit & vegetables, a packet of crisps a chocolate bar such as a Kitkat (or similar) and a carton of juice. With this option there will always be water available for those children that want it (Food may vary slightly on the day depending on availability). Food will be individually wrapped for each child so they can take their food off to their den or base camp to eat.

HOT FOOD

This option is only available if you select the campfire option. A hot dog sausage cooked on the fire, a bread roll (and ketchup/ mustard if required). A selection of fruit & vegetables, a packet of crisps a chocolate bar such as a Kitkat (or similar) and a carton of juice. With this option there will always be water available for those children that want it (Food may vary slightly on the day depending on availability). Food will be individually wrapped for each child so they can take their food off to their den or base camp to eat.

ADULT FOOD

If required, we can also provide food for your adult guests:

A large hot dog sausage in a roll £1.50 each, (only if you are having a camp fire)

Tea and coffee, enough for up to 10 cups £5

PARTY BAGS

Bags will include a minimum of 5 small gifts such as a twig pencil, a bird glider, a magic bean seed with a pot/ compost and planting instructions, a bird feeder kit, a small magnifying glass, a butterfly on a stick and a few sweets (Items will vary depending on availability). Items will be bagged ready to hand out at the end of your party.

CAKE

A 9 inch cake, vanilla or chocolate sponge, with jam and butter cream, iced, decorate with a ribbon and mini beasts and toadstools and writing such as “Happy Birthday ……”, enough for 35 small slices is £45.

What happens at a Forest Fun Club party

We shall meet you and your family at the gate 15 minutes prior to the party, incase you have any early arrivals, we suggest you have a bag for presents and pop them back to the car prior to the start of the party.

We register the children at the gate and they will play a game with the Forest Fun Club team until all children are through the gate. Once everyone is in the gate is locked – so if you have any late arrivals you will need to call them and explain that you will return to the gate once they arrive.

We then all go to Forest School, rules, activities are explained, the children will play a team game and then have free time to build dens, look for bugs, play in the mud kitchen, climb trees, swing on the hammocks, etc. During this time there will also be a craft activity such as making bird feeders.

We will call the children back to case camp about an hour into the party and they will wash their hands, they will collect their food and they can take it wherever they like in Forest School to eat.

If you have chosen to have a campfire each child will have the opportunity to toast a marshmallow on the campfire.

All children will be called back to base camp and we will sing ‘Happy Birthday’ and we then pass the cake back to you so you can cut and wrap as you wish. If we are organizing the cake for you we will take care of all of this for you.

We will then play a game such as a scavenger hunt.

15 minutes before the end of the party we will ask you to pack up all your things so they are ready to take back to the gate at the end of the party. We will walk back to the gate and you and your child will stand at the gate and pass out a party bags and cake (if you are doing them) as each child leaves – we only send a child forward once you have told us their parent is there.

What to wear

We will supply you with an information sheet to give to your guests with their invitations. The woods can be muddy, even in the Summer, so we recommend old clothes, waterproofs and outdoor shoes/ boots. Wellington boots are best, whatever the time of year as even if it’s not raining it can still be wet and muddy on site.

Please wear: Old clothes, layers are best, a hat, gloves and scarf if cold and sun hats in the Summer,

DO NOT wear: Sandals, flip-flops, shorts, short sleeves.

We recommend arms and legs are covered, even in the Summer, this helps protect children from scratches, bites and sunburn.

Please apply sun cream (and insect repellent) prior to leaving home.

What to bring

A bag to take home any presents in.

If you are doing your own food and drinks: Please bring food boxed or bagged ready to hand out to children. (We have a table on site for you to use).

You will need plenty of drinks for your guests, particularly of the weather is hot

No nuts or nut products please

Remember to check any allergies or dietary requirements of your guests

If you are doing your own cake you will need a cake/ candles/ a knife and something to wrap the slice in for your guests to take home. Please hand cake out at the gate, when your guests are leaving.

We are happy to do your party bags for you but of you are doing your own please hand them out at the gate, when your guests are leaving.

Parking

There is no parking on the school grounds, parking is all on the surrounding roads, park up and walk to the school gate where you will be met by a member of the team.

We recommend arms and legs are covered, even in the Summer, this helps protect children from scratches, bites and sunburn.

Please apply sun cream (and insect repellent) prior to leaving home.

Weather

The party will go ahead even if pouring with rain, our ethos is there is no such thing as bad weather, just bad clothing.

Children actually have more fun if it is raining, however, we will always string up a few extra tarpaulins for shelter if bad weather is forecast.

The only time we cancel a party is due to thunder and lightening, or high winds are forecast.

We cancel parties very rarely and only when it is too dangerous to be in the woods – a little bit of rain won’t put us off!

Toilet

We have a portable toilet in a tent on site.

How much does a party cost?

£250 for party package A or B, for up to 20 children (this includes the birthday child)

Additional children are £10 each (maximum 40 children)

Campfire with marshmallow toasting £45

Babies under one year old do not count as a guest if they are accompanying an older sibling.

A non-returnable deposit of £100 is required when booking.

If you are choosing any other additional extras you will be invoiced for these a week prior to the party and they can be paid for on the day of the party.

Party Fees

£250 for up to 20 children

£250 is a minimum charge even if you have less than 20 children.
£10 per additional child over 20 children.

A deposit of £100 will be required at the time of booking.

Party Payment

Full Payment

The balance of £150 is to be paid 2 weeks prior to the event.

Cancellation

Once he deposit is made it is non refundable if you change your mind.

Once the balance is paid it is non refundable, however, we will do our very best to offer you an alternative date.

If you wish to change the date of your party less than a 10 days prior to the party date a £50 administration fee will be charged.

Parties will go ahead if it is raining or snowing, however, if thunderstorms or high winds are forecast, for everyone safety the party will be cancelled and you will be offered an alternative date, as soon as we have availability. We cancel sessions very rarely and only when it is too dangerous to be in the woods – a little bit of rain won’t put us off!

Once you have booked your child’s party

Once you have booked, completed the party booking information and paid the deposit, you will receive the invitations within 5 working days.

The invitations will include information on location, clothing & footwear for your guests.

If you have booked a drop off party (package B) your guests will be asked to complete a consent form via the Forest Fun Club website. We cannot accept a guest unless we receive a consent form for them prior to the party.

We will then be contacting you approximately 2 weeks prior to the party to discuss payment of the balance and at this point you will be required to supply:

For package A – the name of each child, their age and the full name of their accompanying adult

For package B  – the full name of each child attending the party along with the names of any adults remaining on site (maximum a total of 6 adults).

We will then be able to let you know whose medical form we have not received and it will be your responsibility to chase any missing forms.
